The Office of Space Reservations manages the scheduling of academic and non-academic events using the CUNY Coursedog Events & Space Scheduling system. All event and space requests must be submitted and approved through the official Coursedog Event Request workflow.
Coursedog Event Policies
- Authorized Requestors
- Only Medgar Evers College faculty and staff may serve as Event Requestors in Coursedog.
- Students are not authorized to submit Event Requests in the system.
- Minimum Advance Notice
- All Event Requests must be submitted in Coursedog no fewer than three (3) weeks prior to the event date.
- Requests submitted outside of this timeframe may not be approved.
- Event Request Submission
- All internal and external Event Requests will only be accepted through the Coursedog Event Request Form.
- Requests submitted via email, phone, or in person will not be entered into the system or processed.
- Submission of an Event Request does not guarantee space approval and remains subject to the Coursedog approval workflow.
- Approvals & Workflow
- All Event Requests are subject to review and approval through the Coursedog workflow, including but not limited to:
- Space availability
- Facilities & Operations review
- Compliance with College policies
- Events may not proceed without receiving final approval in Coursedog.
- All Event Requests are subject to review and approval through the Coursedog workflow, including but not limited to:
- Catering & Food Services
- Any event involving food service must use vendors with a valid Food Service License.
- Documentation may be required and uploaded or provided as part of the Coursedog approval process.
- Events involving food may require additional review by Facilities or designated campus offices.
- Event Host Responsibilities
- The faculty or staff member listed as the Event Host / Requestor in Coursedog must be present for the entire duration of the event.
- All room setups and breakdowns are coordinated through Facilities & Operations.
- Faculty, staff, students, and student workers are not permitted to move furniture or alter room configurations independently.
Compliance
Failure to follow Coursedog procedures or College policies may result in:
- Event cancellation
- Delayed or denied future requests
- Additional review requirements for future Event Requests
