The Office of Space Reservations manages the scheduling of academic and non-academic events using the CUNY Coursedog Events & Space Scheduling system. All event and space requests must be submitted and approved through the official Coursedog Event Request workflow.

Coursedog Event Policies

  1. Authorized Requestors
    • Only Medgar Evers College faculty and staff may serve as Event Requestors in Coursedog.
    • Students are not authorized to submit Event Requests in the system.
  2. Minimum Advance Notice
    • All Event Requests must be submitted in Coursedog no fewer than three (3) weeks prior to the event date.
    • Requests submitted outside of this timeframe may not be approved.
  3. Event Request Submission
    • All internal and external Event Requests will only be accepted through the Coursedog Event Request Form.
    • Requests submitted via email, phone, or in person will not be entered into the system or processed.
    • Submission of an Event Request does not guarantee space approval and remains subject to the Coursedog approval workflow.
  4. Approvals & Workflow
    • All Event Requests are subject to review and approval through the Coursedog workflow, including but not limited to:
      • Space availability
      • Facilities & Operations review
      • Compliance with College policies
    • Events may not proceed without receiving final approval in Coursedog.
  5. Catering & Food Services
    • Any event involving food service must use vendors with a valid Food Service License.
    • Documentation may be required and uploaded or provided as part of the Coursedog approval process.
    • Events involving food may require additional review by Facilities or designated campus offices.
  6. Event Host Responsibilities
    • The faculty or staff member listed as the Event Host / Requestor in Coursedog must be present for the entire duration of the event.
    • All room setups and breakdowns are coordinated through Facilities & Operations.
    • Faculty, staff, students, and student workers are not permitted to move furniture or alter room configurations independently.

Compliance

Failure to follow Coursedog procedures or College policies may result in:

  • Event cancellation
  • Delayed or denied future requests
  • Additional review requirements for future Event Requests
